Health and Safety Policy for Gardeners Crayford
Gardeners Crayford is committed to providing gardening and grounds care services in a manner that safeguards the health, safety and welfare of our employees, clients, visitors and members of the public. This Health and Safety Policy sets out our approach to preventing accidents, reducing risks and promoting a positive safety culture across all gardening activities and service areas.
Policy Aims and Responsibilities
The aim of this policy is to ensure that all work undertaken by Gardeners Crayford is planned and delivered safely and responsibly. We seek to prevent injury, ill health, damage to property and harm to the environment through careful management of hazards associated with gardening, landscaping and maintenance tasks.
Overall responsibility for health and safety rests with the company management, who will provide sufficient resources, information and supervision to implement this policy. Supervisors are responsible for day-to-day safety on site, including the communication of safe working procedures and the monitoring of standards. Every employee, contractor and volunteer working with Gardeners Crayford is required to take reasonable care for their own safety and that of others who may be affected by their work.
Risk Assessment and Safe Working Practices
Gardeners Crayford undertakes suitable and proportionate risk assessments for gardening and maintenance activities, including but not limited to grass cutting, hedge trimming, planting, tree and shrub care, green waste handling and the operation of powered tools and machinery. These assessments identify hazards, evaluate risks and put in place appropriate control measures.
Safe systems of work are developed from the findings of risk assessments and are communicated clearly to all team members. Staff must follow these procedures at all times, including the correct use of protective equipment, safe lifting techniques, use of guarding and safety features on tools, and adherence to designated access routes and work areas.
Training, Competence and Supervision
We recognise that competent and well-trained staff are essential to maintaining high safety standards. Gardeners Crayford provides appropriate induction and task-specific training to all employees before they are allowed to carry out work independently. This may include the safe use of lawn mowers, trimmers, blowers, chainsaws where applicable, hedge cutters and other powered or manual equipment commonly used in gardening.
Refresher training is provided when necessary, particularly following changes in equipment, processes or legislation. Less experienced workers are closely supervised until they are deemed competent. No employee is asked to perform a task for which they have not received adequate training or instruction.
Use of Machinery, Tools and Personal Protective Equipment
All gardening tools and machinery used by Gardeners Crayford are selected, maintained and inspected to ensure they are safe and suitable for the task. Defective or damaged equipment must be reported immediately and taken out of service until repaired or replaced. Guards, safety devices and manufacturer instructions must never be bypassed or ignored.
Personal protective equipment is provided where risks cannot be fully controlled by other means. Depending on the task, this may include safety footwear, gloves, eye protection, hearing protection, high-visibility clothing, respiratory protection or protective clothing. Staff are required to use the equipment provided, to take reasonable care of it, and to report loss or damage without delay.
Chemicals, Substances and Environmental Protection
Where Gardeners Crayford uses horticultural chemicals or other substances that could pose a risk to health or the environment, these are managed carefully and in accordance with all relevant safety data and instructions. Storage, handling, mixing and application are controlled, and only trained and authorised personnel may use such products.
We aim to minimise the use of hazardous substances and adopt environmentally responsible gardening practices wherever feasible. Waste materials, including green waste and packaging, are segregated and disposed of or recycled through appropriate channels to reduce environmental impact and maintain safe, tidy work areas.
Manual Handling and Physical Wellbeing
Gardening and grounds care work often involve lifting, carrying, pushing and pulling loads. To reduce the risk of musculoskeletal injuries, Gardeners Crayford assesses manual handling tasks and implements measures such as load reduction, use of lifting aids and team lifting where appropriate.
Staff are trained in safe manual handling techniques, encouraged to work at a steady, sustainable pace and to take rest breaks when necessary. We promote good posture and the use of suitable clothing and footwear to support physical wellbeing during outdoor work in varying weather conditions.
Working Conditions and Public Safety
We take into account the specific risks of working outdoors, including weather, ground conditions, traffic, members of the public and animals. Work is planned to reduce exposure to extreme temperatures, high winds or storms where these create additional hazards. Suitable measures are taken to control slips, trips and falls, such as keeping pathways clear of tools and debris and using appropriate access equipment where required.
When working in gardens, shared spaces, near roads or in other public areas, Gardeners Crayford takes care to protect clients, visitors and passers-by. This may include the use of warning signs, barriers, cones, safe cordoning-off of work zones and careful positioning of vehicles and machinery.
Accident Reporting, Emergency Procedures and First Aid
All accidents, incidents, near misses and cases of work-related ill health must be reported promptly to management so that they can be recorded, investigated and used to improve safety measures. We encourage open reporting and do not tolerate victimisation of anyone who raises legitimate concerns.
Gardeners Crayford maintains appropriate first aid arrangements for the type and location of work undertaken. Staff are made aware of emergency procedures, including how to raise the alarm, obtain first aid and contact the emergency services when working at gardens and outdoor locations.
Monitoring, Review and Continuous Improvement
This Health and Safety Policy is monitored regularly and reviewed periodically, and also after any significant change in activities or following serious incidents. Feedback from employees, clients and other stakeholders is welcomed and used to improve our arrangements and working practices.
Gardeners Crayford is committed to continuous improvement in health and safety performance and to fostering a culture in which all individuals share responsibility for maintaining safe, tidy and well-managed work environments across every garden and site we maintain.
